25.7 Release Notes - Restrict users from editing and creating visits in the past

The 25.7 release introduces new restriction settings which give admins greater flexibility in controlling how their therapists and analysts create and modify visits, while also consolidating existing company restrictions in one easy to use view. When therapists and analysts are blocked by the new visit restrictions, a new workflow has been created to allow these staff to request exceptions, which are routed to approvers. An updated Inbox for admins helps users track approvals and notifications and introduces inboxes for both analysts and therapists. Calendar views now display clearer time ranges using the company’s time zone format, providing users outside the company's time zone with greater situational awareness. 



Restrictions Settings

A new Company Restrictions section is now available under Settings > General Settings, replacing several older configuration points. This section allows administrators to:

  • Set time-based limits (1–999 hours) for when Therapists and Analysts can create or edit visits.
  • Require prior authorization for scheduling.
  • Manage all related restrictions from a centralized location, improving clarity and usability.

Workflow When Visit Editing or Creating is Restricted

Therapists and Analysts are now able to request exceptions directly from the Calendar when blocked by company restrictions: 

  • When attempting to edit a visit after the allowed time, the calendar shows a restricted view with a “Request to Edit Visit” option. 
  • When attempting to create a new visit after the allowed time, the calendar displays a red warning and a “Request to Create Visit” option. 
  • Users can submit a ‘request to edit/create visit’ exception to an authorized approver after providing a reason. 
  • Exception requests are sent to authorized approvers for review. 
  • After exception requests are approved or rejected, they are sent to the requestor's inbox.
  • Approved exceptions are logged with date, time, approver details, and justification to ensure full traceability. 
  • Approved exceptions are valid for 24 hours.

New Inbox for Therapists and Analysts

A new Inbox is now accessible in the left-hand navigation for Therapists and Analysts:

  • Therapists receive notifications when their document or exception requests are approved or rejected. 
  • Analysts can view, approve, or reject incoming requests, with tools such as filters, status indicators, and batch actions. 
  • Messages are trackable as read or unread, and action items are clearly counted at the top of the inbox. 


Calendar Views

Several updates have been made to improve calendar clarity and consistency:

  • Month view now displays both start and end times on each visit tile, using the most accurate time data (Override > Actual > Scheduled). 
  • Time zone indicators have been added throughout: 
    • Displayed next to time out on the event body in month view. 
    • Included in hover messages across month, week, and day views. 
    • Shown next to scheduled, actual, and override times in the calendar side panels (Details and Billing tabs). 
  • The timebar in day and week views now consistently uses the company’s time zone, rather than the individual user’s local time.
